Position Summary:
We are seeking a highly organized and detail-oriented Sales – Back Office Manager to support our sales operations by managing incoming luxury lifestyle requests, processing bookings, maintaining client communications, and coordinating with suppliers. This role requires a balance of client service, administrative excellence, and deep fmiliarity with the luxury travel and lifestyle segment.
Primary Responsibilities:
Manage all incoming luxury lifestyle requests, deliver prompt and innovative solutions, sell services directly to clients, and ensure smooth processing of each request in line with company standards.
Proactively engage with clients to deliver excellent service, encourage activation, and build long-term loyalty through collaborative and personalized attention.
Cultivate and maintain strong relationships with high-profile clients, keeping them updated on relevant offers and luxury lifestyle opportunities.
Work closely with international partners and service providers to coordinate bookings and negotiate terms.
Share relevant industry insights, including new openings, global travel trends, and updates from the luxury segment, to support team performance and client satisfaction.
Conduct thorough research using internal tools, websites, and global databases to create personalized solutions.
Maintain and update the CRM system daily; provide structured daily and weekly reports.
Ensure high levels of operational performance, including service effectiveness, accuracy, and adherence to internal deadlines and procedures.
Support a fast-paced and structured back-office environment, ensuring seamless coordination with the front-end team and external vendors.
Requirements:
Minimum 3 years of experience in servicing U/HNWI clients in roles such as Executive or Personal Assistant, Lifestyle Manager, Luxury Travel Consultant, or VIP Account Manager.
Strong knowledge of international travel, luxury hotels and villas, private aviation, concierge services, and high-end shopping.
Understanding of the expectations and needs of ultra-wealthy clients and the ability to work with discretion and sensitivity.
Proficiency in English and Russian is required; knowledge of additional languages is an asset.
Excellent communication, customer service, and interpersonal skills.
Strong research and organisational skills with the ability to prioritise tasks and manage time effectively.
Advanced user of Microsoft Office and CRM platforms.
Previous experience in hospitality, travel agencies, concierge services, or similar luxury sectors is preferred.
