We are a fast-growing oil and gas trading group of companies PANASIA GROUP, seeking a highly motivated and detail-oriented Operations Manager to join our team remotely and support trading operations and supply chain management.

Fluency in both Russian and English is mandatory.

Key Responsibilities

Operational support of physical oil products trading transactions , including:

Supply management via:

• Rail transport
• Road transport

Coordination of all transaction stakeholders:

• Suppliers and trading counterparties
• Buyers
• Refineries
• Terminals and storage facilities
• Transport and freight forwarding companies
• Inspection companies

End-to-end contract execution control:

• Nominations
• Confirmation of volumes and shipment schedules
• Monitoring of actual loadings
• Cargo tracking
• Delivery confirmation
• Control of logistics costs and transaction economics
• Handling operational issues and non-standard situations during deliveries
• Operational control and deal closure

Invoicing and financial coordination:

• Preparation and control of invoicing for shipments
• Monitoring timely issuance of invoices to counterparties
• Collection, verification, and approval of monthly service reports/acts
• Participation in month-end operational closing
• Reconciliation of delivered volumes, logistics costs, and services rendered

Interaction with finance and accounting departments

• Preparation of operational data for internal reporting and control
• Document management and compliance control
• Ensuring a complete set of supporting documents for each shipment:
  • Transport documents
  • Shipping documents
  • Quality certificates
  • Delivery/acceptance certificates
  • Invoices and closing documents
• Maintaining records of shipments, volumes, and logistics operations
• Ensuring accuracy of transaction data
• Participation in claims handling and resolution of operational issues

Requirements

• Experience in oil trading / oil products operations
• Experience supporting physical trading transactions (physical oil trading)
• Practical experience in managing oil products supply chains
• Understanding of trading deal structures and operational processes
• Experience working with refineries, storage terminals, traders, and logistics providers
• Ability to manage multiple shipments and contracts simultaneously
• High level of operational discipline and attention to detail

Languages

• Russian fluent
• English intermediate (B1-B2), written and spoken communication
